What Happens When a CcMe TC Is Out of the Office

People get sick, take vacations, and have days when life simply gets in the way. That’s true of anyone an agent relies on to run their transactions, whether it’s an in-house employee, an independent TC, or a company like CcMe. So the honest question isn’t whether the person handling a file will ever be unavailable. It’s what happens to the transaction when they are.

At CcMe, the answer is that an agent’s service shouldn’t change just because their assigned TC is out. Most of the time, they won’t even know it happened.

Coverage that doesn’t start from scratch

When a CcMe TC is out, another coordinator picks up their files, and the reason that works is that nothing important is sitting in one person’s head. Agent preferences, deadlines, documents, compliance status, and the full communication history are already documented in our system long before anyone is ever out. The covering TC works from the same records and the same process the assigned TC would. If something unusual is happening on a file, they get a quick brief. Otherwise they simply step in and keep it moving.

This is also where it’s worth being clear about what an agent is actually getting. Hiring CcMe doesn’t mean handing a file to a rotating cast of strangers. Each agent has an assigned TC who knows their business and runs their transactions day to day. The rest of the team is the safety net behind that person, there for the days they’re out, not a replacement for having someone who’s theirs.

Why an agent rarely notices

Coverage like this happens constantly. Someone is out sick for a day, someone takes PTO, someone has an appointment, and the transactions keep moving through all of it. Over the years we’ve had TCs out countless times without the agent ever realizing that another person had touched the file. Emails still get answered, deadlines still get watched, documents still move, and title, lenders, and the other parties still get what they need. When a TC is going to be gone for a longer stretch, we may give a few agents a heads-up, but even then the work carries on the same way it always has.

For years, CcMe has kept that coverage running through our business hours, Monday through Friday, no matter which individual happens to be out on a given day.

The difference between hiring a person and hiring a service

To see why that matters, picture the version without a team behind it. An agent hires a terrific in-house assistant, and for a while everything runs beautifully. Then one Monday that assistant gives notice. Now the agent is writing a job post, screening candidates, and training someone from zero, all while a dozen live files keep hitting deadlines that don’t pause for the search. Or the assistant catches the flu the same week three of the agent’s deals are heading to closing, and there’s no one else who knows those files well enough to step in.

A strong in-house TC or assistant can be genuinely valuable, and there’s nothing wrong with that choice. But one person is also one point of failure, and when that person is out, the coverage is often nobody at all.

With CcMe, an agent isn’t building their entire transaction process around a single individual. When we recently had a TC unexpectedly out for a full day, the other TCs and our support team divided up the coverage, the files kept moving, and our agents had an ordinary day without a hint that anything had changed.

Our people matter a great deal, but the service an agent depends on never rises or falls with any one of them being at their desk that day.
