So here is the straight version: how CcMe tracks real estate transaction deadlines, when we follow up, who gets notified, and what happens when something is not confirmed on time.

How CcMe Tracks Real Estate Contract Deadlines

Q: Do you actually track all the deadlines in my contract, or do I need to remind you?

You do not need to remind us.

From the moment a file goes under contract, the deadlines are loaded into our system: earnest money, loan contingency, inspection, appraisal, HOA docs, repair notice, closing, and any contract-specific dates that apply.

If something is approaching and we have not confirmed it is handled, follow-ups go out to the right people.

Contingency Deadline Follow-Up: Loan, Appraisal, & Repair Notice

Q: How far in advance do you follow up on contingency deadlines?

For contingencies like loan, appraisal, and repair notice, we send reminders two days before, one day before, and the day of the deadline.

Who receives the reminder depends on the deadline. It may be you, the lender, the co-op agent, title, or whoever needs to act.

Earnest Money Deposit Tracking

Q: What about earnest money?

EMD is one of the highest-urgency items in any file.

Once the deadline passes without a confirmed receipt, we follow up every business day at 9:00 a.m. with escalating messages to you, the co-op agent, and escrow. We do not stop until the receipt is in hand.

When the receipt is uploaded, your client gets an automatic notification, and you are copied.

Tracking Preliminary Title Reports & HOA Documents

Q: What about preliminary title reports & HOA docs?

Those follow a similar escalation pattern.

Once the deadline passes unconfirmed, follow-ups go out every other business day to the relevant parties until we have confirmation.

HOA docs are the ones to watch closely. In our market, turnaround times can be slow and unpredictable. The document order is one of the items most likely to quietly stall a closing, which is why we start chasing early and keep chasing until receipt is confirmed.

Inspection Contingency Deadline Management

Q: How do you handle the inspection contingency?

Inspection works a little differently because it is less about confirming a delivery and more about making sure no one misses the window.

We send reminders two days out, one day out, and the day of the deadline to you and the co-op agent. From there, the negotiation is yours. Our job is to make sure nobody is surprised when the deadline hits.

How Agents Stay Informed on Active Files

Q: How do I stay informed?

You get two regular updates.

Every Thursday at 9:15 a.m., everyone on the file receives a “This Week on [Address]” email with the full contract timeline.

Every Wednesday morning, you receive a compliance status email covering all of your active files, including outstanding documents and anything approaching a deadline.

In the final two weeks before closing, compliance warnings go out on Tuesday until the file is clean.

What Happens When a Real Estate Deadline Is Missed

Q: What happens if a deadline gets missed?

We keep following up.

The system escalates automatically, and because we are already in front of the right parties, missed deadlines rarely stay quiet for long. When something needs a decision from you, we flag it directly.

Nothing slips through without the right people being aware.

Q: Does CcMe ever stop following up & assume something was handled?

No.

Follow-ups stop when we have confirmed resolution: the EMD receipt is uploaded, lender confirmation is received, the repair notice is completed and documented, or the relevant item is otherwise resolved.

The system marks something as done when it is actually done. Until then, it keeps going.
